As a specialist in level, limit level, and pressure measurement technology, VEGA Grieshaber KG operates in over 80 countries with subsidiaries and distribution partners, employing around 2,100 staff members. The HR department at the headquarters in Schiltach is responsible for payroll management for over 1,500 employees across the company and two subsidiaries. As part of its comprehensive digital transformation, the HR department at VEGA is working on optimising HR processes and implementing a compliant digital personnel file. The goal is to capture and utilise information more effectively within a shared data framework in the future. One key step in this transformation was switching from paper-based payslips to digital documents. Thanks to FTAPI, VEGA Grieshaber KG was able to completely eliminate printing and mailing costs, saving dozens of person-hours previously spent on manual distribution.

The Challenge

Over 3,000 sheets of paper – every month

The HR department at VEGA faced a recurring challenge every month during payroll processing: Payslips had to be printed, checked, reprinted, enveloped, and personally distributed by the HR team to over 1,500 employees. Each month, more than 3,000 printed sheets of paper were used just for the payslips, plus over 1,500 envelopes.

The time spent on printing and distributing was not even factored into this calculation.

The Solution

User-friendly, intuitive, and trustworthy

VEGA Grieshaber was looking for a solution that was user-friendly and featured a unified interface. “Our goal from the beginning was to provide users with only what they truly needed, avoiding overwhelming them with excessive information and options,” explains Georg Boser from the VEGA HR department, who led the project.
The guiding principle was: As much as necessary, as little as possible.

The solution needed to ensure secure data transmission, not just simple data transfer. “We were looking for a provider with proven experience in securely transmitting not only payroll documents but other sensitive files as well. FTAPI is that provider,” says Georg Boser.

The Result

How VEGA Grieshaber KG uses FTAPI’s solution

After defining the framework conditions and conducting an initial demo with selected user groups, VEGA decided to use FTAPI for all payroll documents. For secure and encrypted digital transmission, FTAPI SecuMails is used.

The automation of sending the documents to the correct recipients works via FTAPI SecuFlows: The required data is pulled from the payroll system and, after verification, is automatically sent to the individual recipients.

"The implementation and rollout were very quick, and FTAPI kept to the agreed timeline," recalls Georg Boser. Since then, employees have been able to access their payslips exactly when they need them.
