Solothurner Spitäler AG (soH) is the largest employer in the Canton of Solothurn, Switzerland, with around 4,500 employees.

soH includes Bürgerspital Solothurn, Kantonsspital Olten, Spital Dornach, Psychiatric Services, and various outpatient services. The HR Services Center is responsible for the monthly payroll for all employees across all locations.

To position itself as an innovative and modern hospital, soH has been pursuing a digitalisation strategy for years. As part of this strategy, the monthly payroll was digitised and automated in collaboration with smahrt consulting AG and FTAPI.

The Challenge

High level of security – even in digital processes

When searching for a solution, data protection and data security played a significant role in ensuring that sensitive, personal data was comprehensively protected at all times.

The monthly payroll processing became a huge task for the HR services at Solothurner Spitäler soH: Two employees spent an entire morning printing payslips, sorting them for mailing both domestically and internationally, and delivering them to the post office.

Given the significant time investment required each month, a solution was sought to reduce paper usage and optimise personnel resources.

The Solution

Secure client communication directly from the email inbox.

To reduce the high time investment in the HR department while maintaining a high level of security, soH chose FTAPI. The digital payslip was implemented within three months and provides a GDPR-compliant solution that integrates seamlessly into the existing SAP core system.

"The digital payslip has positively changed our work," says Liliane Jorns, Head of HR Services at soH. "From an HR perspective, FTAPI is the best solution we could have implemented - both for the employer and for the employees."

The Result

90% time savings – every month

Since the rollout, the solution, which is operated as a web service under the name "mysoH-Portal", can be accessed by employees via URL.

Mid-month, new employees are contacted by email and asked to register in the "mysoH-Portal" in order to receive their payslips by email.

The sending process, which is handled through SAP, now takes no more than 15 minutes, reducing the time spent by approximately 90%.
