The municipal administration of Möhrendorf serves as an essential contact point for citizens, not only in matters of tourism but also for administrative concerns such as construction projects, kindergarten registrations, and waste management. The approximately 5,000 residents increasingly rely on digital services for these requests. Many of these digital applications require citizens to submit personal and sensitive data to the authorities. Until recently, it was relatively complicated for the residents of Möhrendorf to communicate securely with the municipality through digital channels. Existing solutions required cumbersome registration processes and frequent logins, offering limited user-friendliness. For the municipal administration and its chief administrative officer, Stephan Buchner, it was clear that a data exchange solution was needed—one that was not only secure but also easy for citizens to use.
“We have set up a personal SubmitBox for each administrative staff member on our website, allowing citizens to send encrypted files directly to them,” explains Stephan Buchner from the Municipality of Möhrendorf.
The Solution
Securely send and receive data of any size
During their search for a suitable solution, the municipality of Möhrendorf came across SecuMails from FTAPI through a recommendation from another local authority. This solution allows secure and simple transmission of files of any size. It can be used via standard internet browsers, an add-in for popular email programs, or through the SubmitBox digital mailbox.
"We have set up a link to a personal SubmitBox for each administrative staff member on our homepage," says Stephan Buchner. "This enables citizens, associations, businesses, and organisations to send encrypted messages and files directly to any caseworker." The need for registration has been eliminated, speeding up the process. Thanks to the provided end-to-end encryption, citizens can be confident that sensitive data sent via SubmitBox will reach only the intended caseworker.
The Result
How the Municipality of Möhrendorf uses FTAPI
FTAPI’s solution is fully developed in Germany, with all transmitted data stored on certified servers within the country. This ensures that the solution is GDPR-compliant.
Additionally, the municipality’s caseworkers have integrated FTAPI SecuMails into their Outlook systems. All outgoing email correspondence with attachments is automatically secured and encrypted. "For emails without attachments, each caseworker decides whether encryption is necessary," explains Stephan Buchner.
"Data protection is not just an empty phrase for our municipality when it comes to exchanging messages and data with citizens," he adds.
