The Challenge

A Secure, Digital Solution Without Barriers for Employees

Equans Switzerland successfully partnered with FTAPI and smahrt consulting AG to digitise the distribution of payslips. The traditional process of printing and mailing payslips was costly, time-consuming, and less secure. Previously, data was transmitted via a tunnel solution to an external service provider, who printed and sent the payslips by post to employees. There was no employee portal where staff could independently access and download their payslips, nor was there end-to-end encrypted data transmission.

When the decision was made to digitalise the process, the project team faced another challenge: Many of the readily available digital solutions were either too expensive or not sufficiently tailored to the specific needs of Equans Switzerland. The goal was to find a secure, cost-efficient, and user-friendly solution that would enable the digital distribution of payslips directly from SAP HCM.

The Solution

Digital Payslip Distribution

After researching and evaluating various providers, Equans Switzerland chose FTAPI for its digital payslip distribution, in collaboration with its Swiss sales and software partner, smahrt consulting AG. In addition to functionality and cost-effectiveness, the team was particularly impressed by the transparent approach to project planning and implementation, the excellent support, and the high security standards met by the solution.

The solution includes the automated dispatch of payslips from SAP using smahrt-eDoc and FTAPI SecuFlows, ensuring end-to-end encrypted transmission and providing a user-friendly portal that enables employees to securely receive their payslips. Instead of sending printed payslips via post—with associated monthly printing and postage costs—employees now receive them fully digitally via FTAPI SecuMails.

FTAPI, together with smahrt, supported Equans Switzerland throughout the entire implementation phase with clear communication, technical assistance, and a transparent breakdown of the necessary steps and responsibilities. The certified security of FTAPI was an added advantage, further strengthening trust in the solution by ensuring not only cost savings and functionality but also compliance with the highest security standards.

The Result

High Acceptance, Significant Savings

The introduction of FTAPI has been a true success story for Equans Switzerland. More than 90% of employees have now moved away from paper-based payslips and receive their salary statements fully digitally via FTAPI. In addition to improved user experience—such as easy access through the FTAPI web interface—this shift has resulted in significant savings of approximately CHF 10,000 per year on paper and postage costs.

More than 1,500 employees are now using FTAPI for digital payslip distribution. The solution was quickly adopted and has helped Equans Switzerland take another step forward in its digital transformation. The implementation ran smoothly, with minor technical challenges swiftly resolved.

The positive reception and enhanced security of payroll processing demonstrate how technology can be effectively leveraged to optimise business processes.
